Cross Reference & Sourcing Representative, Customer Care

BRIEF POSITION SUMMARY:

The Vertical Markets Group (VMG) Cross Reference and Sourcing Representative I supports VMG- Public Sector and Commercial customer opportunities by researching, validating, and delivering compliant product cross-references and sourcing specialized items that meet federal, state, and local government requirements. This position plays a key role in ensuring accurate item matching, reliable sourcing that meets customer needs, while supporting timely RFQ and bid submissions. The position requires strong attention to detail, organizational skills, and a foundational understanding of product data and sourcing channels to align customer needs with the right suppliers and solutions. By enabling accurate product selection, this role helps the sales team deliver competitive pricing and compliant solutions that support business growth.

DUTIES AND RESPONSIBILITIES
Cross Referencing & Item Matching

  • Cross-reference part numbers, NSNs, UPCs, manufacturer data, and competitor information using internal systems and external databases to match products to MSC part numbers.
  • Research, validate, and identify equivalent or substitute products that meet government specifications, standards, and contract requirements.
  • Maintain accurate cross-reference data and validate product compatibility, compliance, and replacement options for obsolete or end-of-life parts across ERP, contract management, and government pricing systems.
Specialized Item Sourcing
  • Source non-stock, discontinued, and hard-to-find items through approved suppliers while ensuring alignment with customer requirements, bid specifications, and federal compliance standards.
  • Identify and qualify suppliers that meet government contract requirements, including eligibility, registration, and documentation standards. (e.g., SAM registration, CAGE codes)
  • Identify and qualify approved suppliers capable of supporting government contracts and compliance requirements. (e.g., FAR, DFARS, ITAR, BAA, and TAA requirements)
  • Partner with suppliers to secure pricing, lead times, availability, and alternative product solutions while addressing supply chain disruptions and contract changes.
Compliance, Documentation & Audit Support
  • Document cross-reference and sourcing decisions to support traceability and audit readiness.
  • Maintain complete and accurate records of cross-referenced items, sourcing decisions, and supplier
  • communications to support documentation standards and business continuity.
  • Review cross-reference and sourcing product data for completeness, accuracy, and alignment with government purchasing regulations, contract terms, and internal standards.
  • Contribute to process improvements that strengthen controls, reduce errors, and support operational effectiveness.
Collaboration & Communication
  • Foster supplier engagement to drive responsiveness, competitive pricing, and reliable supply.
  • Escalate critical sourcing issues in a timely manner to minimize impact to customer requirements.
  • Provide clear and consistent updates on project status, sourcing progress, and issue resolution.
Process Improvement
  • Identify recurring issues and escalate opportunities for improvement.
  • Follow established processes to support consistent and accurate sourcing activities.
  • Support implementation of new tools, systems, and process updates.
  • Provide input on workflow challenges and potential improvements.
Continuous Learning & Development
  • Demonstrate a commitment to continuous learning by utilizing monthly allocated time to enhance product knowledge.
  • Leverage newly acquired knowledge to strengthen product, supplier, and systems knowledge, supporting sound decisions and evolving business needs.
  • Remain adaptable to changing tools, systems, and business priorities through ongoing learning and skill development.
  • Share knowledge and best practices with team members to promote collaboration and continuous improvement.
  • Participation in special projects and performs additional duties as required.
  • Fosters the MSC Culture in the department and throughout the company to ensure fulfillment of MSC’s vision and unity of purpose.

QUALIFICATIONS
What You Need:
  • High school diploma/GED or equivalent technical experience is required.
  • A minimum of (2) years of Industrial industry experience, is required.
  • Foundational knowledge of MRO (Maintenance, Repair and Operations) industrial products, item data, and sourcing channels, is required.
  • Ability to develop and maintain proficient knowledge of the MSC assortment and cross-referencing tools and processes, is required.
  • Intermediate attention to detail and accuracy when identifying, sourcing, and crossing products, is required.
  • Intermediate organizational skills, including the ability to multi-task and re-prioritize daily duties as needed, is required.
  • Intermediate communication, listening, and research skills with the ability to quickly resolve issues and identify root causes, are required.
  • Proficiency in Microsoft Outlook, SharePoint, Word, Excel, and other standard office software, is required
  • Basic experience with manipulating data sets for uploading and downloading functions is required.
  • Experience interacting with customers and helping maintain positive relationships is required.

Bonus Points If You Have:
  • Associate's degree in business or related field or the equivalent work experience is required.
  • Minimum of (2) years of Cross Reference and Sourcing experience is preferred.
  • Proficient user of AS400, SalesForce, SAP, reporting applications is preferred.
  • Familiarity with NSNs, CAGE codes, OEM documentation, and government catalogs is preferred.
  • Knowledge of government acquisition regulations (FAR, DFARS), is preferred.
  • MRO subject matter expert in at least one of the following areas preferred:
  • Electrical
  • Hydraulics / Pneumatics
  • HVAC
  • Power Transmission
  • Pipe/Valve/Fittings
  • Metalworking

Other Requirements:
  • This position may require access to International Traffic in Arms Regulations Information (“ITAR”) and/or
  • Controlled Unclassified Information (“CUI”). Must be a U.S. Citizen.

Compensation starting at $16.11 - $25.28 / Hour depending on candidate location and experience.

The salary range represented is based on similar roles in comparable industries, and the cost of labor in respective cities. Actual compensation is based on the candidate's relevant experience, education requirements and peer pay equity. The Company reserves the right to modify the range as market conditions change.
